The Power of Handwritten Notes

Over several decades, I have experimented with many ways to build strong relationships with people in the business. Time is a huge asset and there never seems to be enough of it. So I love things that make a big impact in a small amount of time. By far the most efficient tool I’ve found to leave a big impression on a team member is a hand written note or letter. 

This week, you need to order yourself some 4x6 notes with your name on them and some letter size stationery with your name on them. This gives a nice important feel to the person who receives a letter on the CEO’s stationery.

Next, it has to be hand written. And they have to be able to read your handwriting 😉. Exactly what goes into the note can vary quite a bit. It may begin with a funny memory you have of that person, or that you want to take a minute just to drop a note to them about why you are thankful for them.

Next, mention some specific things they do. “I can tell how deeply you care about our customers. You leave it all on the field every week. That sale you closed is going to mean generous bonuses for the whole team.” 

As you write, imagine that they are reading it and then imagine that their spouse is reading it. This is a brag letter…go big. And when you are done, finish by telling them that they are a big deal to you, and that you appreciate what they add to the team. And I love to finish off a letter from the CEO signed, “your friend, Jack”.

And a nice last touch I often add at the bottom is a quote that fits something about them. I happen to keep a journal of great quotes that makes this easy and fun for me. 

A few more pro tips:

  • If it’s quick and maybe just one quick thought, use the 4x6 cards. Trust me, it will get pinned up at their desk for a long time.
  • If it’s a longer format, use the stationery. Full letters really impress ppl in a good way.
  • If you aren’t sure you can fill up the letter size stationery, use a sharpie. It fills up the page fast!
  • Send letters to their home address. Their spouse is sure to see it and read it to everyone. (short notes are fine to leave on their desk)
  • Set a small goal of 2 cards or letters this week and put it on your schedule.

Not only is the ROI on this small investment of time immeasurable; but you may be the only handwritten note they get from anyone all year.
